    CASE 01

Northwind Federal IT (35 ppl, Ottawa)

    ServiceNow implementation for federal departments

    Win-rate lift+9 pts

    Before

30 bids/year, 4 wins, 7 hours per RFP on matrix prep alone.

    After

62 bids/year, 11 wins, under 30 minutes from RFP upload to final compliance check.

We stopped triaging our pipeline with gut feel. The fit score plus the past-award pricing tile changed which bids we even open.
    Sarah K., Bid coordinator

Northwind had a credible federal track record but their pipeline coverage was uneven. Three of their best service lines (ITSM, ServiceNow upgrades, identity governance) were oversubscribed; two others (data migration, integration testing) were quiet. Every Monday Sarah would scroll CanadaBuys, MERX, and three Ontario tabs in turn. By the time she had a list, the team's morning was half gone.

After BidOps, the first hour of Monday became a triage hour instead of a discovery hour. Fit scores ranked the week's new postings to Northwind's actual pricing band and stack. They started declining bids they used to chase and committing harder to the ones they took on. The team writes fewer proposals and wins a higher share of them.

The matrix tool is what surprised them. A 96-page treasury board RFP that used to consume a full bid coordinator afternoon now extracts in under a minute with every mandatory, rated, and format requirement cited back to the source page. Sarah uses the saved hours on the win-themes draft instead of clerical extraction.

    CASE 02

Atlantic Civil Group (18 ppl, Halifax)

Bridge inspection and culvert assessment, Atlantic provinces

    New annual pipeline$3.1M

    Before

Missed two provincial RFPs on PEI and NL portals, never even saw them.

    After

Full visibility across all four Atlantic procurement portals plus federal infrastructure pipeline.

The MERX integration alone paid for the year. We submitted on a $480K culvert assessment we would have missed entirely.
    Jean-Paul L., Managing partner

Atlantic Civil had three of the four eastern provinces covered, manually. The fourth, Newfoundland and Labrador, lived on a portal nobody at the firm had a routine for checking. Jean-Paul knew they were missing postings; he didn't know how many until BidOps pulled them in.

Within the first month, they discovered eleven open opportunities on NL Public Tendering they had been blind to over the past year. Two were good fits. They submitted on the second one (the $480K culvert assessment) and shortlisted.

Past-award context now sits next to every new opportunity. They can see which prime won the analogous job last cycle, what the contract value was, and whether they want to compete or sub. Their proposal voice has become more confident because the firm finally has a complete picture of its own market.

    CASE 03

    Threshold Cyber (12 ppl, Vancouver)

Penetration testing for federal and Crown corporations

    Hours saved / month32h

    Before

Used three separate spreadsheets to track active bids, lost track of two amendment notices.

    After

One place for active pursuits, draft responses live next to the requirement, amendment alerts surface within 30 minutes.

The drafting drawer is the feature I didn't know I needed. The clearance language pulls from our cap statement without me thinking about it.
    Priya S., Director of capture

Threshold competes for federal cyber work where clearance language, methodology citations, and personnel credentials need to be re-pasted across nearly every proposal. Priya's team was using three spreadsheets and a chaotic SharePoint folder to keep track of what had been submitted where.

BidOps replaced all three. Active pursuits live in one workspace. Drafts pull paragraphs from the firm's own past wins with citations back to the source proposal. Clearance and ITAR language appears automatically against the matrix rows that need it. The cap statement gets referenced by the AI as a primary source so the voice stays consistent.

Amendment tracking was the deal-closer for them. In Q1, BidOps caught a mandatory amendment posted at 4:55pm on a Thursday for a Monday submission. The change tightened the residency requirement. They updated their team list before the close and won the contract; the spreadsheet would have missed it.

    10 · Common questions

    The honest answers.

Do you cover every Canadian procurement source?

Yes. Federal CanadaBuys plus Treasury Board disclosure, all ten provincial portals (SEAO Québec, BC Bid, Alberta Purchasing Connection, SaskTenders, Ontario Tenders Portal, NB, NS, PEI, NL), bids&tenders platform (200+ municipalities), Bonfire Vendor Portal, plus grants from NRC IRAP, SDTC, CanExport, Mitacs, the four regional development agencies, and provincial innovation funds.

Can you read the actual RFP, or just the listing page?

Both. We pull the source page first; if a PDF attachment is linked, we download and read it directly. PDFs go through native vision parsing so scanned and complex layouts still extract cleanly.

Do you work in French as well as English?

Yes. SEAO content is ingested in French and embedded into the same vector space as English content, so a unilingual English search will still surface relevant Québec opportunities, and vice versa.

Will my past proposals get used to train your model?

No. Library content is yours. We embed it for retrieval (so drafts pull from your past wins), and that index is scoped to your organization only. We do not train models on your content.

What happens to my saved opportunities if I downgrade?

They stay. Plan limits gate new activity (matches scored, matrices extracted) per month. Everything you have already saved, pursued, or drafted remains visible and editable.
